Is prepashow really usable for free?
Yes, to discover the tool and prepare a first show in full on the input side: programme, dancers, costumes, sets, casting, real-time tracking - with no time limit at all. The Premium account unlocks everything that makes a season truly comfortable: MP3 upload, teamwork with your team (costume designer, sound technician, booth, graphic designer), all printable PDF exports, and the media pack ready for your graphic designer. Features used throughout the prep, not just at the end.
How many shows can I prepare?
Just one with the free account. As many as you want with Premium.
From one season to the next, do I have to re-create all my dancer sheets?
No. When you create the show for the new season, an option lets you import your dancers and groups from the previous show in one click, photos included. The photos are copied, not shared: if your students changed their hair or grew a few inches, you calmly replace the photo on the new season without touching last year's archive (the already-printed programme stays consistent). Costumes and sets, however, start from scratch - each show has its own world.
Can we work as a team on the same show?
Yes, with the Premium account. You invite your collaborators by email with finely tuned access: the costume designer sees (and edits) only the costumes, the sound technician uploads the MP3s without touching the rest, the set designer updates the status of the sets, the graphic designer grabs an image pack in one click. Each receives an invitation email and works from their own free account.
Do my dancers have to create an account?
No. You enter your dancer directory yourself (or with your team in Premium) - your students don't have to do anything. prepashow never asks your dancers for any data directly.
What kind of show does this work for?
For all shows structured in pieces / choreographies: classical dance, contemporary, modern jazz, hip-hop, end-of-year gala, musical theatre, dance theatre, even circus or cabaret. As long as you have a programme with numbers, performers, costumes and music, prepashow is designed for you.
Do I have to be tech-savvy?
Not particularly. If you can browse a website, you can use prepashow. The interface was designed not to require any technical learning.
Do I have to download an app? What devices does it run on?
prepashow is what's called a Progressive Web App: open your browser and you're set - on phone, tablet or computer. Your data follows you everywhere: you start preparation at the studio, continue at home in the evening, everything stays up to date. With one click from your browser, you can also install it like a regular app (shortcut on your home screen), without going through the App Store or Google Play. Always the latest version, no updates to manage.
Can I use Prepashow as an audio player for my rehearsals?
Yes! Every show has a rehearsal player that gathers all your music in the running order of the programme. Play it back-to-back, loop a track, jump straight to a piece, and even simulate the set-change time between numbers. Everything you need to rehearse in real conditions, without juggling files.
Why switch?
I've always done it with paper and pencil, why switch?
Paper and pencil works. But every change (a costume swapped, a piece moved, a dancer absent) means rewriting everything cleanly before the big day. With prepashow, you enter once and everything updates automatically: the programme reorganises, the durations recalculate, the technical sheets regenerate. The official programme to print? One click. The hanger labels? One click. The booth dossier for the technician? One click. Keep your paper method for the artistic creation - you save several hours on the logistical production.
Why not Excel or Trello?
Excel and Trello are generic tools that you have to configure and then maintain. prepashow is designed specifically for dance shows: the structure is already there (acts, pieces, casting, costumes, sets), the links between elements are automatic (an edited costume updates on all related pieces), and the PDF exports are ready to print - where Excel just gives you a table to lay out yourself.
What if I try and it doesn't suit me?
You can use prepashow for free as long as you want, no card required, no commitment. If the tool doesn't suit you, you delete your account in one click from your profile and all the data is wiped. No commitment kicks in until you actively subscribe to Premium.
Pricing and subscription
How much does it cost?
There's a free plan with limitations. The Premium plan offers all features and costs €100 per year, in a single annual payment. Auto-renewed each season, can be turned off any time from your account.
Can I stop my subscription?
Yes, any time from your account. The cancellation takes effect at the end of the current period - you keep Premium access until then.
If I stop paying, do I lose my data?
No. You simply revert to a free account and can manage one show (the most recent), with the basic features. You just relaunch your Premium subscription whenever you want to access all your data again.
Data and security
Does my data stay in France?
Yes. French hosting, GDPR-compliant. Your choreographies, your files, your student contacts: everything is stored in France.
What about the safety of my dancers' photos (often minors)?
The photos you upload are stored in France, accessible only by you (and the Premium collaborators you've explicitly invited). No public access, no sharing with third parties, no marketing reuse. It's your responsibility to obtain parental consent for any photo of a child - prepashow is just a private secure storage tool.
How do I retrieve my data if I leave?
Before leaving, export your PDFs (programme, run-through, dancer sheets, labels…) and download the media pack: you keep a complete paper trail + all your high-quality visuals. For MP3s, the technician ZIP contains all your source files.
What if I want to delete everything?
You delete your account in one click from your profile. All your data is permanently wiped (shows, dancers, costumes, sets, MP3s, photos), with no hidden retention.
Technical
What music formats are supported?
Standard MP3, up to 20 MB per file (more than enough for a song in booth quality). It's the most universal format - virtually all consoles and booth software read it natively. If you have WAV, AIFF or other files, you'll need to convert them to MP3 before uploading (many free tools do this in one click).
What exactly is in the booth ZIP?
All the MP3s of the show (pieces and intermissions) renamed and numbered in programme order - the booth manager opens the folder and starts the playlist in one click. The ZIP also contains the technical run-through as a PDF with durations, set changes, set and lighting indications. A dossier ready to hand to the technician the night before the show.
